Utah Fandom Organization, and the conventions or events it supports, are committed to informing you of your privacy and information rights, as well as protecting those rights. The following are situations that may allow for data collection, what it is used for, your options to edit or remove data, and length of collection.
Asking for your Personal Information
If we need information that identifies you, or need personal information to contact you, we will ask you for that information so you can control what is given. Situations that may require identification or information can include, but are not limited to; attending, presenting, sponsoring, registering for specific workshops or dealers venue, subscribing, voting on site, or purchasing. We make every effort to limit the data to email (or post mail data if not available), language, location, and points of information that would support a safety request or service to you. We also ask the minimal information necessary from you to comply with the state of Utah, United States, or other governing regulations.
Personal data for purchases through any event with Utah Fandom Organization are necessary for billing and/or shipping and tax purposes. The information needed can include; Name, Address, Telephone Number, and Payment Method. Utah Fandom Organization will only keep this information for the duration of the event, with the exception of data required to be kept a set time for tax or federal non-profit records. Every effort is made to keep your data secure, and the access to it limited. Other reasons for requested data, or time constraints include conforming to legal requirements, protecting the rights or property of Utah Fandom Organization, or circumstances that are urgent to protect the personal safety of users, attendees, volunteers or the public. (For example, if you register an emergency contact for medical reasons).
Sponsored activities are encouraged to follow the Privacy and Code of Conduct rules posted by the Utah Fandom Organization and add or request adjustments to fit individual events. Please note that workshops, hotels, venue parking or other possible third party information requests are not the responsibility of Utah Fandom Organization as the sponsoring body of the event, and we do not control what they may be required at a convention or event.
We may hire other companies to provide limited services on our behalf, including packaging, mailing and delivering purchases, answering customer questions about products or services, sending postal mail and processing event registration. We will only provide those companies the information they need to deliver the service, and they are prohibited from using that information for any other purpose.
Using your Personal Information
Your information may be stored and processed in the United States where Utah Fandom Organization, its committees, affiliates, subsidiaries or agents operate and maintain records. By using this site, or registering for an event, you consent to any such transfer of information for event and tax purposes. Utah Fandom works to protect individual’s right to privacy and control of their information for every process possible and strives to comply with law enforcement, national security and public requests under the 501(c)(3) guidelines.
We may use your personal information for the purposes of assisting you with products, services or information within the organization or its events, to publish and create relevant content for you, alert you to new information, enable you to participate or register for events, and give us your opinion through online surveys or forms. Utah Fandom Organization will not share that information with third parties, without your permission, other than the limited exceptions already listed in this policy.
Utah Fandom organization strictly protects the security of your personal information and honors your choices for its intended use. We carefully protect your data from loss, misuse, unauthorized access or disclosure, alteration, or destruction. You may email or post mail to the address below, to verify and review your information only, and inform us of any changes in your requested data process. Information is not given to third parties in, or outside the United States without express permission. All data is stored on protected servers and controlled with limited access until such time elapses that we may dispose of an event data file. Verification will include identification markers which may ask for photo or legal identification and two-way communication.

Protection of Children's Personal Information
Our minor data guidelines follow our children’s policy. Members age 13-17 years may chose to give information for events, but not required to do so. (Note: If an event requires such data, a refusal could hinder access to the event.) If you are under the age of 13, you will need your parent or guardian to consent with verified identification, before you can provide any personal information to us for purposes of registration and other activities. We do not allow anyone outside the parents, or legal guardians, to consent for a minor. For ages 7 and under we do not ask any data more than what the parent or guardian supplies, and require minors age 7 and under be accompanied by an adult. Please note that we do not condition a child's participation in an activity on the child's disclosure of more personal information than is necessary to participate in the activity. Siblings, extended family, or care workers do not constitute legal guardianship.
Data Gathering through Technology
To ensure we are publishing content customers need and want, Utah Fandom collects site-visitation statistics using software such as cookies. We only use this information in aggregated form and only use site-visitation statistics for improving our site. This technology tells us how many visitors clicked on key elements (such as links or graphics) on a Utah Fandom supported website. We do not use this technology to access your personally identifiable information.
We may share aggregated site statistics with partner sites, but do not allow other companies access to place direct technology, data requests or links on our sites. This technology may be required if you create an account for our carts, or chat/forums, instead of logging in as a guest. If you deny or block the technology, you should be able to see the text on the screen, but not see subscription, registration or services offered including graphics or a personalized experience.
Changes to this Statement
Thank you for taking the time to review how Utah Fandom Organization strives to protect you and your personal data. When this policy is updated, the date at the top will change, and a revised copy will be mailed, to all who are interested in it or sign up for the list.
